As an Executive Assistant, you will be responsible for providing operational, project, and senior administrative support to our leadership team, including the CEO, the Board of Directors, and other key staff. In this role, you will manage essential support functions to ensure the smooth and efficient operation of the organization, allowing our leadership to focus on achieving the company’s strategic and operational goals.
Duties & Responsibilities:
- Improve administrative processes for efficiency.
- Review and summarize documents for executive review.
- Manage confidential records and files.
- Schedule and organize meetings, including venue bookings.
- Ensure all necessary documents and agendas are prepared.
- Take meeting minutes and follow up on action items.
- Conduct research and compile data as needed.
- Create reports and presentations.
- Foster good relationships with internal teams, external partners, and stakeholders.
- Ensure clear communication between all parties.
- Represent the organization in meetings and events when needed.
- Manage calendars and emails, prioritizing engagements.
- Coordinate travel arrangements.
- Occasionally work outside of standard business hours.
- Perform other duties as assigned.
Experience and Skills:
- Post-secondary education in business administration is preferred; a combination of education and experience will be considered.
- Previous experience as an Executive Assistant or Project Manager is preferred.
- Excellent organizational skills.
- Proficient in Microsoft Office products, including Excel, PowerPoint, and Teams.
- Ability to conduct research and create detailed reports or presentations.
- Ability to create concise communication documents.
- High level of professionalism with the ability to handle confidential and sensitive information.
- Reliable transportation and a valid full driver’s license.
- Ability to pass a Criminal Record Check.
