Brokenhead Ojibway Nation is seeking a highly motivated individual to fill the full-time position of Executive Assistant. Working under the direction of the Chief Administrative Officer (CAO), the Executive Assistant provides high-level administrative and strategic support to the Chief Administrative Officer (CAO) of Brokenhead Ojibway Nation. This role is critical in ensuring the efficient operation of the CAO’s office by managing communications, scheduling, documentation, and follow-up on priorities. The ideal candidate is highly organized, discreet, culturally aware, and capable of working in a fast-paced environment with minimal supervision.
PRIMARY DUTIES AND RESPONSIBILITIES
- Provide comprehensive executive-level support to the CAO, including calendar management, travel arrangements, and correspondence
- Draft, proofread, and manage official documents, reports, presentations, and briefing materials
- Coordinate meetings, prepare agendas, take minutes, and track action items
- Liaise with internal departments, Council, community members, and external partners on behalf of the CAO
- Maintain confidential records and files, ensuring data security and discretion
- Monitor deadlines and assist with project management and task follow-up
- Provide support in preparing for Council and community meetings, including logistics and materials
- Perform other duties as assigned by the CAO
- Exceptional cultural sensitivity in working with First Nations Peoples and governments
QUALIFICATIONS AND SKILLS REQUIRED:
- Post-secondary education in Business Administration, Office Administration, or a related field
- Minimum 3 years of experience in an executive assistant or senior administrative support role
- Excellent written and verbal communication skills
- Strong organizational and time-management skills with the ability to multitask and prioritize
- High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Experience working with Indigenous communities or in a government/administrative setting is an asset
- Ability to maintain confidentiality, discretion, and professional integrity
- Must be willing to submit a Criminal Record Check and a Child Abuse Registry Check
- Politically and culturally sensitive and has an awareness of BON values, culture, and traditions
- Must be willing to submit a pre-employment drug test
